Identify the tenancy issue and any stated dates

Describe the immediate problem: a repair request, bond disagreement, rent record, termination notice or tribunal document. Keep the full notice, envelope or email and record when it arrived. Ask for timely advice about any stated date; a response from a directory or an appointment request does not extend it.

Explain your role and the type of accommodation. A residential tenancy, rooming arrangement, social housing matter and commercial lease may use different rules or services. Let the adviser assess the classification instead of choosing a form solely because its title looks familiar.

Prepare three short records

Make a chronology of the events that matter, with a document reference for each. Prepare a payment record that distinguishes rent claimed, rent paid and any disputed amount. For repairs, list the problem, when it was reported, responses and relevant photographs.

Keep your requested outcome separate: for example, understanding a notice, obtaining advice on a repair dispute or preparing for a listed event. Preserve unedited original records. Ask the service which documents it needs and how to share them safely.

  • Chronology: event, date, source and uncertainty.
  • Payments: the agreement, ledger and receipts available to you.
  • Repairs: observations, reports and communication trail.

Choose a local assistance route

Queensland’s Residential Tenancies Authority explains QCAT dispute options, while NCAT publishes NSW tenancy case information. Do not transfer a step, form or deadline from one state to another. Use the service for the property’s jurisdiction and describe what has already happened.

Ask a tenant service, legal aid body or community legal centre whether it assists someone in your role and situation. For a private firm, ask if a single advice session or document review could meet the immediate need, and what further work would require a new agreement.

Clarify advice, preparation and appearance

A service may explain options, review papers, help prepare a response or represent someone. These are different tasks. Ask what is available, whether representation is permitted or requires approval in the relevant forum, and who will handle any required filing or attendance.

Before the conversation ends, repeat the next step, the responsible person and any date that needs attention. Do not infer that the service has taken over the matter merely because it has read an email. This guide does not advise you to withhold rent, leave a property or ignore a notice.
